CRM for small sales teams: Pipedrive, HubSpot, Close and GTM Flow compared
The best CRM for a sales team of 2 to 10 reps depends on where your buyers reply. Pipedrive has the clearest pipeline and the cheapest email sequences; HubSpot Starter is the cheapest way in if you do not automate follow-ups yet; Close is the best fit if you sell by phone. GTM Flow puts email, LinkedIn, WhatsApp and calls on one record, but it is in early access.

The best CRM for a small sales team, at a glance
For a team of 2 to 10 reps, Pipedrive Growth (€39 per seat a month billed annually) is the most balanced choice with email sequences; HubSpot Starter is the cheapest if you do not need sequences; Close is the best for phone-heavy selling; and GTM Flow is the one that unites all four channels, still in early access.
A note on transparency. This comparison is written by the GTM Flow team, and GTM Flow is one of the four options. Everything we say about Pipedrive, HubSpot and Close comes from their own websites and help centers, checked on October 23, 2026 unless we give another date, and every source is linked at the end. Where another tool wins, we say so.

What a CRM for a sales team of 2 to 10 people needs
A CRM for a small sales team needs a shared pipeline everyone reads the same way, clear account ownership, follow-ups that do not depend on each rep's memory, the channels buyers reply on in the same record, and reports per rep. And a seat price that still works when you grow from three reps to eight.
With one founder selling, almost any CRM works, and we cover that in our guide to choosing a CRM as a founder. With two to ten reps the problem changes: it is no longer about writing things down, but about reps not stepping on each other, nobody dropping a follow-up, and the sales lead seeing what is happening without asking in a meeting. This is what to look for:
- A shared, simple pipeline. Stages the whole team reads the same way and can move without training. This is where Pipedrive is strongest.
- Account ownership and permissions. Who owns each company, who can see or edit what, and what happens when a rep leaves.
- Automated follow-ups. Sequences that send the next email or create the next task on their own. This is what separates a cheap plan from an expensive one at Pipedrive, HubSpot and Close.
- The channels your buyers reply on. Email almost always; in B2B, often LinkedIn, WhatsApp and the phone as well. If each channel lives in a different tool, the customer record is only half the story.
- Reports per rep. Activity, open deals and forecast per person, without building a spreadsheet every Monday.
- A seat price that scales. Multiply by five or eight reps and by twelve months before you choose, and add onboarding fees and anything billed by usage.
What a CRM costs for a team of five reps
For five reps billed annually, the cheapest plan with sequences among the four is Pipedrive Growth, at €2,340 a year. GTM Flow Team would cost a planned €4,140, Close Growth $5,940 plus call minutes, and HubSpot Sales Hub Professional $6,900 in the first year once the required onboarding fee is added.
| Plan | Per seat a month | 5 reps, first year | Sequences? | Paid on top |
|---|---|---|---|---|
| Pipedrive Lite | €14 | €840 | No | Calling through a Marketplace app |
| Pipedrive Growth | €39 | €2,340 | Yes, email and tasks | Calling through a Marketplace app; LinkedIn through an extension |
| HubSpot Starter | From $7 | $420 | No | WhatsApp needs another Hub on Professional |
| HubSpot Professional | $90 | $6,900 (including $1,500 onboarding) | Yes | Sales Navigator for LinkedIn steps |
| Close Essentials | $35 | $2,100 | No | Call minutes and SMS at cost |
| Close Growth | $99 | $5,940 | Yes | Call minutes and SMS at cost; LinkedIn and WhatsApp through other tools |
| GTM Flow Team (planned) | €69 | €4,140 | Yes, email, LinkedIn, WhatsApp and calls | Telephony, at the carrier's usage cost |
The honest maths: if your team only needs a good pipeline and email follow-ups, Pipedrive Growth is cheaper than GTM Flow, and Pipedrive Lite or HubSpot Starter are much cheaper if you do not automate anything yet. The maths changes when you add a cold email tool, a LinkedIn tool and a calling app to that CRM, each with its own per-user price. Our breakdown of what the HubSpot, Instantly and HeyReach stack costs does that sum with public prices.
GTM Flow's planned prices are Solo at €39 for one person, Team at €69 and Scale at €149 per user a month billed annually (€49, €85 and €179 billed monthly). Every plan has the CRM, sequences on all four channels and the Copilot; there is no charge per email sent, LinkedIn step or WhatsApp message. The full breakdown is on the pricing page.

A HubSpot alternative for small business sales teams
Small businesses look for a HubSpot alternative when they need sequences: HubSpot's start on Sales Hub Professional, at $90 per seat with a required $1,500 onboarding fee. Pipedrive Growth and Close Growth include sequences without an onboarding fee, and GTM Flow plans them on every plan. For startups, our HubSpot alternatives guide compares seven options.
HubSpot is a reasonable start for a small business: the free plan holds 2 users and Starter costs from $7 per seat. The jump comes with automated follow-ups. For five reps, Professional is $6,900 in year one with onboarding, against €2,340 for Pipedrive Growth and $5,940 for Close Growth, before call minutes. If your company is a funded startup, the HubSpot for Startups discount can change that sum; we cover it, with the full list of options, in HubSpot alternatives for startups.
If you are leaving Pipedrive rather than HubSpot, the Pipedrive alternatives guide is the one to read, and GTM Flow vs Close goes deeper into Close.
Where each CRM wins for a team of 2 to 10 reps
Pipedrive wins on adoption and on price with email sequences. HubSpot wins if the team starts on the free plan or will run marketing on the same platform. Close wins on call volume and SMS. GTM Flow wins when buyers reply on LinkedIn and WhatsApp and you want those steps in the same sequence as email and calls.
- Pipedrive, if the problem is order. A team that tracks deals in spreadsheets and needs a common pipeline adopts it in days. Growth covers email follow-ups.
- HubSpot, if you do not automate yet or you run marketing. The free plan and Starter are cheap to start; the jump to Professional is big, so do the year-four maths before you commit.
- Close, if your team lives on the phone. Hundreds of calls a day, dialers and SMS. None of the other three does it the same way.
- GTM Flow, if you sell on several channels at once. Email from your own mailboxes, LinkedIn steps with per-profile limits or as manual tasks, WhatsApp only with people who gave you their number and permission, and calls, in one sequence that stops when someone replies. See how prospecting works in GTM Flow and our WhatsApp CRM guide.
For the sales lead, what matters in GTM Flow is that each account record holds what happened on every channel, with the notes from every call, and that the AI proposes the next task and a person approves it. How a deal moves from first touch to close is in closing deals with GTM Flow.
How to choose a CRM for your sales team in five questions
To choose a CRM for a small team, answer five questions: whether you need to buy now, which channels your buyers reply on, whether you want automated follow-ups, how many calls each rep makes a day, and what the plan you need really costs multiplied by your seats and twelve months, onboarding and usage included.
- Do you need to buy this week? Pipedrive, HubSpot and Close have a trial or a free plan. GTM Flow opens in waitlist order.
- Where do buyers reply? Phone and SMS point to Close. LinkedIn and WhatsApp point to GTM Flow. If it is only email, Pipedrive or HubSpot will do.
- Do you want automated follow-ups? If not, Pipedrive Lite or HubSpot Starter are the cheapest. If yes, compare Pipedrive Growth, Close Growth, HubSpot Professional and GTM Flow Team.
- How many calls a day? Hundreds point to Close's dialers; a few fit GTM Flow's browser calls or a Pipedrive Marketplace app.
- What does it really cost? Seats × price × 12, plus onboarding, minutes and the tools you will need alongside.
If you are weighing more options, the comparisons page lists every tool we compare GTM Flow with.
