Multichannel outreach CRM: why your sequences should live in your CRM

A multichannel outreach CRM runs your sequences, with email, LinkedIn, WhatsApp and call steps, from the same record that holds the account, the deal and every reply. The outreach tools that rank for this search, such as lemlist, Reply.io and HeyReach, send the steps and sync to a CRM afterwards. If a small team sells and prospects at once, keeping both in one place removes the copying and the missed replies.

What a multichannel outreach CRM is

A multichannel outreach CRM is a CRM that also runs outbound sequences across several channels: email from your own inboxes, LinkedIn steps, WhatsApp messages and call tasks. Every step, reply and call lands on the same company and contact record, so the sequence stops when someone answers and the deal starts with the full history already there.

A note on transparency. This page is written by the GTM Flow team, and GTM Flow is one of the options it describes. We say where a dedicated outreach tool is the better choice. Third-party prices come from each vendor's pricing page and carry the date we read them.

Search for «multichannel outreach CRM» today and the first page is mostly outreach tools: lemlist, Reply.io, HeyReach and their review roundups. They are good at sending. None of them is the CRM where the deal is worked after the reply, so they describe a CRM integration, not a CRM. That gap is what this page is about.

  • Multichannel: one sequence mixes channels in order, for example email, then a LinkedIn invite, then WhatsApp, then a call.
  • Outreach: the steps go out on a schedule, under caps per inbox and per profile, and stop for each person who replies.
  • CRM: the person, the company and the opportunity are the same records your pipeline uses, not a copy kept in sync.

Why your sequences should live in your CRM

Sequences belong in the CRM because the reply is the moment that matters, and it should land where the deal is worked. When the outreach tool and the CRM are separate, the reply arrives in one inbox, the context lives in another, and someone has to copy it across. In a small team, that someone is usually the founder.

A sequence is only half of prospecting. The other half is what happens after: the reply, the call, the next step with a date, the opportunity in the pipeline. If the first half lives in an outreach tool and the second in a CRM, every reply crosses a border. Integrations reduce the friction, but they still decide what crosses, when and with which fields.

  • The stop rule works across channels. If someone answers on WhatsApp, the email steps for that person stop too, because both channels write to the same record.
  • Lists come from the CRM. You enrol a filtered list of accounts with no open deal, not a CSV exported last week.
  • History is not lost. When a rep leaves, the sequences, the replies and the calls stay on the accounts.
  • One bill. No per-sender LinkedIn seat, no separate cold email plan and no CRM on top.

That is how the Prospect pillar of GTM Flow is built: one sequence, four channels, on the same records as the pipeline. Replies from every channel also appear in the unified inbox.

What breaks when outreach and the CRM are separate tools

Four things break when outreach and the CRM are separate: replies on another channel do not stop the sequence, the CRM receives activity late or partially, lists drift because they are exported copies, and the cost grows per sender and per channel. None of these is fatal on its own, but together they cost a small team hours each week.

What a four-channel sequence looks like

A useful four-channel sequence starts with an email, adds a LinkedIn invite two days later, sends a WhatsApp only to people who gave you their number and permission, and ends with a call task for a person. Every step waits for the previous one, and any reply on any channel stops the sequence for that contact.

  1. Day 1, email. From one of your own inboxes, short, with a single question. The same sender is kept until the end of the sequence.
  2. Day 3, LinkedIn invite. Within the limits of your profile. You can also do this step by hand: the sequence leaves it as a task.
  3. Day 6, WhatsApp. Only for contacts who gave you their number and agreed to be contacted there, and under a daily cap.
  4. Day 8, call. A task in Today with the whole history in front of the person who calls. After the call, the notes and the next tasks go on the record.
  5. Any day, a reply. The sequence stops for that person, and the reply is read and turned into a task.

The order matters less than the stop rule. Most of what feels like spam in multichannel outreach is a sequence that kept going on LinkedIn after the person had already answered by email. For the email part on its own, our B2B cold email guide covers copy, volumes and deliverability.

lemlist, HeyReach, Reply.io and GTM Flow: where each fits

lemlist and Reply.io are outreach platforms with email, LinkedIn and call steps that sync to a CRM. HeyReach is built for LinkedIn outreach at volume, with email through Instantly or Smartlead. GTM Flow is a CRM with the sequences inside. The first three win on sending volume and maturity; GTM Flow wins when the CRM is the centre.

Teams that want a mature outreach tool with many channels and already have a CRM they like.

An outreach platform with email, LinkedIn, SMS and call steps, plus WhatsApp as an add-on, on its Multichannel plan. It syncs with HubSpot, Salesforce and Pipedrive and can be used from inside the CRM on Enterprise. We compare it with six other options in lemlist alternatives.

A favor

  • Many channels in one sequence, with a built-in dialer on Multichannel
  • Native CRM sync with HubSpot, Salesforce and Pipedrive
  • Large template library and community

En contra

  • It is not a CRM: the deal, the pipeline and the call notes live elsewhere
  • WhatsApp is a paid add-on
  • Data enrichment and intent signals are extra

Precio: Email $55 a month billed annually ($69 monthly) and Multichannel $87 ($109). Enterprise on request. Enrichment add-on from $16 a month billed annually. Checked 23/10/2026.

HeyReach

heyreach.io

Agencies and teams that run LinkedIn outreach from many sender profiles at once.

A LinkedIn outbound tool priced per sender, with a unified inbox for those senders. Email steps come from native integrations with Instantly and Smartlead, and activity is logged to HubSpot contacts.

A favor

  • Built for many LinkedIn senders and agencies, with whitelabel on higher plans
  • Unified inbox across sender profiles
  • API, webhooks and HubSpot sync

En contra

  • Email needs a second tool (Instantly or Smartlead)
  • No WhatsApp or call steps of its own
  • Not a CRM: deals live in HubSpot or another CRM

Precio: Growth $79 per sender a month ($64 billed yearly). Agency $999 a month ($800 yearly) and Unlimited $2,999 ($2,399 yearly). Checked 23/10/2026.

Reply.io

reply.io

Sales teams that want an established sales engagement platform next to their CRM.

A sales engagement platform with email, LinkedIn and call steps in one sequence, and an AI SDR sold as a separate product. It works alongside a CRM rather than replacing it.

A favor

  • Long track record in sales engagement
  • Email, LinkedIn and call steps in one sequence
  • CRM integrations for teams that already have one

En contra

  • Not a CRM: the deal is worked in another tool
  • Some channels are sold as add-ons, so the cost depends on what you switch on
  • We could not read the official pricing page to confirm current figures

Precio: Not quoted: reply.io/pricing returned an error when we checked on 23/10/2026. Confirm the current plans on the official page before you compare.

B2B teams of 1 to 10 people and founders who prospect and close in the same tool.

A CRM with prospecting inside: sequences with email from your own inboxes, LinkedIn steps within each profile's limits, WhatsApp and call tasks, on the same records as the pipeline. An agent reads replies, stops the sequence and creates the task. In early access.

A favor

  • Sequences, replies, calls and deals on one record
  • A reply on any channel stops the sequence for that person
  • Address checks on enrolment, inbox rotation and a pause when an inbox starts bouncing

En contra

  • Early access only: no self-serve sign-up yet
  • Not built for hundreds of thousands of emails a month or dozens of LinkedIn senders
  • A/B variants report results, but you pick the winner

Precio: Planned pricing, not on sale yet: Solo €39, Team €69 and Scale €149 per seat a month billed annually (€49, €85 and €179 billed monthly), each with the CRM and all four channels. Checked 23/10/2026.

Channel rules a multichannel sequence has to respect

Each channel has its own rules. Gmail asks every sender for SPF or DKIM and a spam rate below 0.3%, and bulk senders also need DMARC and one-click unsubscribe. LinkedIn limits each person's profile, not the company. WhatsApp is for people who gave you their number and their permission. A good sequence builds those limits in.

  • Email. Google's sender guidelines, read on 23/10/2026, ask all senders to set up SPF or DKIM and keep the spam rate reported in Postmaster Tools below 0.3%. Senders of more than 5,000 messages a day to Gmail also need SPF, DKIM and DMARC and one-click unsubscribe in marketing messages.
  • LinkedIn. Limits apply per profile. A sequence should cap invites and messages for each person who sends them, and let them do any step by hand instead.
  • WhatsApp. Write only to people who shared their number and agreed to hear from you there, and keep a daily cap. Our WhatsApp CRM guide covers WhatsApp's business policy with dates.
  • Calls. A person makes the call. The CRM's job is to put the history in front of them and keep the notes afterwards.

In GTM Flow, addresses are checked when someone is enrolled (syntax, MX records and disposable domains), each inbox has its own cap plus a global one, an inbox that starts bouncing pauses itself, and unsubscribes are handled without anyone touching them.

When a separate outreach tool is still the right call

A separate outreach tool is the better choice when you send very high volumes, run dozens of LinkedIn sender profiles for clients, or your company has a CRM that is not going to change. In those cases, pick the outreach tool with the best sync to your CRM and test how replies and stops cross over before you scale.

  • Agencies with many senders. HeyReach's Agency and Unlimited plans are designed for that, and GTM Flow is not.
  • Very high email volume. Dedicated cold email tools are built for warm-up and sending at scale across many domains.
  • A CRM decided by someone else. If the company runs on Salesforce or HubSpot and that will not change, a tool such as lemlist that syncs to it is the realistic choice.

If none of those apply, and the same two or three people prospect and close, keeping sequences in the CRM is simpler and cheaper. That is the case GTM Flow is built for. It is in early access: see how prospecting works in GTM Flow and ask for access from there.

Frequently asked questions

What is a multichannel outreach CRM?

It is a CRM that also runs outbound sequences on several channels, typically email, LinkedIn, WhatsApp and calls. The difference from an outreach tool is that every step and every reply lands on the same company, contact and opportunity records the pipeline uses, so nothing has to be synced or copied across.

Is lemlist a CRM?

No. lemlist is an outreach platform: it runs email, LinkedIn, SMS and call steps, with WhatsApp as an add-on, and it syncs with CRMs such as HubSpot, Salesforce and Pipedrive. On 23/10/2026 its Multichannel plan cost $87 a month billed annually or $109 monthly. The deal and the pipeline still live in your CRM.

Does HeyReach send emails?

Not by itself. According to its pricing page on 23/10/2026, HeyReach runs multichannel campaigns through native integrations with Instantly and Smartlead, so email needs one of those tools. HeyReach focuses on LinkedIn outreach from many sender profiles, priced per sender, with a unified inbox and a HubSpot sync.

How does GTM Flow handle LinkedIn steps?

GTM Flow treats LinkedIn as a step in a sequence that respects the limits of each person's profile: invite, message, visit or follow. Any LinkedIn step can be done by hand instead, as a task. LinkedIn sets its own rules for its platform, so we recommend reading its terms before you add LinkedIn steps.

What happens when someone replies on a different channel?

In a multichannel outreach CRM, a reply on any channel stops the sequence for that person, because every channel writes to the same record. In GTM Flow an agent reads replies every 10 minutes, classifies them, stops the cadence and creates the follow-up task. With separate tools, that depends on how the reply sync is configured.

How much does GTM Flow cost?

GTM Flow is in early access and is not on sale yet. The planned pricing is Solo €39, Team €69 and Scale €149 per seat a month billed annually, or €49, €85 and €179 billed monthly. Each plan includes the CRM and the four outreach channels, with no credits and nothing metered per send.
