CRM with built-in calling and call notes

A CRM with built-in calling lets you dial from the contact record, records the conversation and logs it on the account's timeline without anyone typing a thing. What actually saves time is what happens after you hang up: the call notes, the commitments with dates and the tasks. Here is how it works in GTM Flow, and what HubSpot, Pipedrive and Close include.

What a CRM with built-in calling is, in short

A CRM with built-in calling is a CRM you can call from without switching apps: you click «Call» on the record, the call logs itself on the account's timeline and, if it is recorded, it can be transcribed and summarized. The differences between products are whether telephony comes inside or as a separate app, and what gets written down after you hang up.

A note on transparency. This guide is written by the GTM Flow team, and GTM Flow is one of the CRMs compared. What we say about HubSpot, Pipedrive and Close comes from their pricing pages and help centers, checked on October 23, 2026, and every source is linked at the end. Where they do something we do not, we say so.

People looking for a CRM with calling usually come from one of two places: they call from their phone and then log what was said (or don't), or they have a dialer in one tab and the CRM in another. Either way, the same thing gets lost: what each side promised and when to call back. A CRM with built-in calling solves three things, and it is worth checking each one separately:

  1. Dialing without leaving the record. With the account history in front of you: the last emails, yesterday's WhatsApp and the open deal.
  2. Logging and recording on its own. The call lands on the company timeline with its duration and recording, and nobody logs it by hand.
  3. Writing down what matters. A summary helps; call notes with the commitments, dates and tasks already created are what keep a deal from going cold.

How browser calling works in GTM Flow

In GTM Flow you click «Call» on any record and choose where you talk from: your headset, right in the browser tab, or your mobile phone, which rings first and connects you to the contact when you pick up. In both modes the call is recorded, transcribed and logged on the record. Inbound calls ring in the browser too, with the caller's record attached.

Calls live inside GTM Flow, the AI go-to-market platform, on the same record as email, LinkedIn and WhatsApp. There is nothing to install and no other app to open. We cover calls with the rest of the channels in a CRM with LinkedIn and WhatsApp:

  • With a headset. The call goes out from the CRM tab. The browser asks for microphone access the first time you call, not when you log in.
  • From your mobile. The CRM calls your phone first and, once you pick up, dials the contact. Handy for talking while you walk, and the call is logged and recorded exactly as from the browser.
  • Inbound calls. When a number the CRM knows calls you, the call bar shows their company, their deal, the last time someone on the team spoke with them and a link to their record.
  • When you hang up, the outcome. You mark how it went with one click (a real conversation or voicemail, for example). That outcome is yours; the call notes suggest their own, separately.

The recording keeps each side's voice on its own track. So when the transcript separates what you said from what the prospect said, it is not guessing: it knows. That is what makes a «not interested» end up attributed to the person who actually said it.

What the call notes contain when you hang up

When a recorded call ends, a GTM Flow agent writes the call notes on the record: key points, each side's commitments with their dates, objections in the prospect's own words, questions left unanswered and a paragraph you can forward to a teammate. It creates up to three tasks, flags the account as hot when interest is high and drafts the follow-up. It does not move the deal stage.

  • Key points. Facts from the call, one per line: «They run 12 events a year», «Their partner decides, not him». No «great conversation» or «showed interest»: if a line tells you nothing new about the account, it is left out.
  • Next steps. Each starts with a verb, says whether it is on you or on the prospect and carries the date if one was said. You tick them off on the record once done.
  • Commitments and objections. What each side said they would do, and the prospect's objections quoted as they said them.
  • Unanswered questions. What the prospect asked that got a «let me check». That is what to prepare before the next call.
  • What you learned about the account. Who decides, which tool they use today, what worries them: only if it was said on the call.
  • Notes in prose. One or two paragraphs to paste into an internal email: which company, what was discussed, where it landed and what comes next.

Besides the notes, the agent does three things in the CRM. It creates up to three tasks assigned to you, one per commitment or next step of yours that has a date, without duplicating tasks that already exist. If interest was high, it flags the account as hot; it never lowers it. And it drafts the follow-up email or WhatsApp in your list of things to do today, with «Send», «Redo» and «Dismiss». Nothing goes out until you decide.

Two details say a lot about call notes. First: if there was no conversation (voicemail, nobody picked up), the notes are one honest sentence and nothing more; no key points are invented to fill space. Second: the notes suggest their own call outcome without seeing the one you marked, so any mismatch shows. And every Friday an email collects the commitments and buying signals from the week's calls.

A CRM with WhatsApp and calling on the same record

A CRM with WhatsApp and calling puts each contact's WhatsApp messages and phone calls on the same record, in order. In GTM Flow they sit next to email and LinkedIn: the call notes know what was said on WhatsApp before, and the suggested follow-up can be a WhatsApp, always to someone who gave you their number and their permission.

In B2B sales a conversation rarely stays on one channel: an intro email, a call, a WhatsApp to confirm the demo time. If every channel lives in its own tool, nobody has the full story. In GTM Flow the company record shows everything on one timeline, and the Conversations inbox filters by channel when you only want to see calls.

One clarification so nothing gets mixed up: the calls in this guide are phone calls, not WhatsApp voice calls. WhatsApp is used for messages, only with contacts who gave their number and their permission. More in our guide to a CRM with WhatsApp for B2B sales.

HubSpot, Pipedrive, Close and GTM Flow: calling compared

HubSpot includes calling and recording on every plan, but automatic transcription and AI call summaries need Professional or Enterprise. Pipedrive has no built-in calling: you call through a Marketplace app or from your phone. Close is the strongest on the phone, with power and predictive dialers, and charges extra for transcription. GTM Flow includes recording and call notes, in early access.

Where each one wins. Close, if your team lives on the phone and dials hundreds of numbers a day: we do not have its power and predictive dialers. HubSpot, if you already work in its ecosystem and will pay for Professional, which is where transcription comes in. Pipedrive, if a clean pipeline is enough and you already use a dialer that integrates. GTM Flow, if your prospects reply by email, LinkedIn and WhatsApp as often as by phone and you want every call to leave its notes and tasks without typing. What the call notes don't do (on purpose)

GTM Flow's call notes do not move the deal stage, do not send the follow-up and do not invent what nobody said. You change the stage yourself, or ask the copilot and confirm; the follow-up waits for your click; and a call with no conversation leaves a single sentence. These are product decisions: a made-up fact on a record costs more than the minute it takes to review it.

  • It does not move the deal. A prospect saying «send me the proposal» does not always mean the deal moves forward. You decide.
  • It does not send. The follow-up email or WhatsApp is drafted; if the text has an unresolved gap, the card flags it and will not let you send it until it is fixed.
  • It does not pad. A voicemail does not produce six key points. Empty notes read at a glance as what they are: nothing happened.
  • It does not tick things off for you. Next steps are marked done by the rep who owns the call or an admin, because ticking them removes them from what is due.

One recommendation that has nothing to do with the CRM: tell people at the start of the call that it is being recorded and why. It is the right thing to do and avoids surprises if they ever ask to hear it. What the AI does with the recording is covered in AI sales agents.

How to choose a CRM with calling in five questions

To choose a CRM with calling, ask whether telephony comes built in or as another app, which plan records and transcribes, what gets written down after the call, how minutes are billed and whether it covers the other channels your prospects reply on. Those answers show the real price, which is almost never the seat price.

  1. Is telephony built in? If it is a separate app, add its per-user price and check what syncs to the record.
  2. Which plan transcribes? On HubSpot, Professional; on Close, a paid add-on. Recorded does not mean transcribed.
  3. What is written down after the call? A summary is a good start. Dated tasks and a drafted follow-up are what save work.
  4. How are minutes billed? Included up to a cap, passed through at the carrier's cost, or on your phone bill.
  5. What about the other channels? If the prospect confirms the demo on WhatsApp, the call and the message should be on the same record.

What each planned GTM Flow plan includes is on the pricing page. Telephony is billed separately, on real carrier usage. For a team of two to ten reps, our CRM for small sales teams comparison runs the full numbers, and the comparison page lists every tool we compare against.

Frequently asked questions

What is a CRM with built-in calling?

It is a CRM you can call from without switching apps. You click «Call» on the contact record, the call is logged on the account's timeline and, if it is recorded, it can be transcribed and summarized. Some bring telephony inside, like HubSpot or Close; others rely on a separate app, like Pipedrive.

Can you call from the browser with GTM Flow?

Yes. You click «Call» on any record and talk through your headset right in the tab. If you prefer your mobile, the CRM calls you first and dials the contact once you pick up. Either way the call is recorded, transcribed and leaves its notes on the record. GTM Flow is in early access.

What do GTM Flow's call notes include?

The key points of what was said, the next steps with who does them and when, the prospect's commitments and objections in their own words, the questions left unanswered and a paragraph you can forward to a teammate. It also creates up to three tasks and drafts the follow-up, which is not sent without your approval.

Does HubSpot transcribe calls on Starter?

Not automatically. According to its help center on October 23, 2026, call recording is available on all plans, but only calls by users with a Sales Hub or Service Hub Professional or Enterprise seat are transcribed automatically, and AI call summaries sit on those same plans. Starter includes 500 calling minutes a month.

Does Pipedrive have built-in calling?

According to its help center, checked on October 23, 2026, Pipedrive does not have a built-in calling integration. You call by installing a Marketplace app such as CloudTalk or JustCall, or from the mobile app, billed to your phone plan. Recording depends on the app you choose.

Is there a CRM with WhatsApp and calling?

Yes. GTM Flow puts WhatsApp messages and phone calls on the same record as email and LinkedIn, and the follow-up it suggests after a call can be a WhatsApp, only to contacts who gave their number and their permission. Close syncs WhatsApp through a third-party tool that is billed separately.
