CRM with WhatsApp for B2B sales: what to ask for and five checked options
A CRM with WhatsApp for B2B sales keeps every WhatsApp conversation on the company, contact and deal record, next to email, LinkedIn and calls, so anyone on the team knows where each prospect stands. This page covers the difference between the WhatsApp Business app and the API, what Meta charges per message since October 1, 2026, WhatsApp's opt-in rules and five options we checked.

Who wrote this page and how we checked the facts
This page on CRMs with WhatsApp for B2B sales is written by the GTM Flow team, and GTM Flow is one of the options listed. We have tried to be fair to all of them: prices are the public ones as of October 22, 2026, and every claim about Meta, WhatsApp or another tool links to its official site, documentation or policy text.
Transparency note. This guide is written by the GTM Flow team, and GTM Flow is one of the options listed. We have tried to be fair to all of them; prices are the public ones as of October 22, 2026. GTM Flow is in early access and you cannot buy it yet: we say so every time we mention it.
It is written for founders who sell themselves and sales teams of 1 to 10 who already use WhatsApp with prospects, typically selling into Europe, Latin America or other markets where business runs on WhatsApp, and who want to stop losing conversations on each rep's phone. It is not legal advice: when we discuss WhatsApp's policies we quote the text, with the version date, and suggest you review your case with counsel.
What a CRM with WhatsApp is and what changes in B2B sales
A CRM with WhatsApp is a CRM that sends and receives WhatsApp messages and stores them on the contact, company or deal record. In customer support it helps a team answer fast from a shared inbox; in B2B sales it keeps the history with a prospect from living only on one rep's phone.
Most of what you find when you search for a WhatsApp CRM is built for customer support and B2C selling: lots of inbound messages, chatbots, quick replies and an inbox where several agents answer. In B2B sales the volume is lower and each conversation matters more, because a deal can run for months and involve several people at the same company.
- Confirming and preparing meetings with someone you have already spoken to by phone or email.
- Sending the proposal or answering a quick question without waiting for the prospect to open an email.
- Following up after a call, with the summary and the agreed next step.
- Reviving a stalled deal with someone who gave you their number and agreed to hear from you.
The problem a CRM with WhatsApp solves is team memory. If the conversation lives only on a phone, nobody else knows what was promised, and when that rep leaves the relationship goes with them. The same holds for every other channel, which we cover in B2B prospecting tools.
WhatsApp Business app vs. the WhatsApp Business API
The WhatsApp Business app is free to download and, according to WhatsApp, is ideal for small businesses. The WhatsApp Business Platform, usually called the API, is not an app at all: it connects to a CRM or other systems, supports several users on one number, and Meta charges for every delivered message by category.
| Aspect | WhatsApp Business app | WhatsApp Business Platform (API) |
|---|---|---|
| What it is | «A free-to-download messaging app ideal for small businesses» | «Not an app at all»: a set of APIs that plug into systems like a CRM |
| Who WhatsApp says it suits | Small businesses that want a simple way to reply to customers | Larger organizations that message at scale and connect WhatsApp to other systems |
| Cost | Free to download | Meta charges per delivered message, by category and country |
| Users | «Provides for one phone number» | Several users on the same number, through a CRM or other software |
| How you start | Download it from your app store | «Your business will need developer resources or a Business Messaging Partner», such as a CRM that integrates it |
One platform rule shapes how you sell: the customer service window. According to Meta's documentation, when a user messages or calls you, a 24-hour window opens and resets with each new message from them. Inside that window you can reply with regular messages, no template needed; once it closes, you can only send pre-approved templates.
- Marketing templates: Meta says they let businesses reach a wide range of goals, from awareness to retargeting.
- Utility templates: typically triggered by a user action or request, and they cannot be promotional.
- Authentication templates: used to verify a user's identity, for example with a one-time passcode.
You pick a category when you create a template, but WhatsApp validates it against the content and, since July 2024, runs a recurring process that moves approved templates into the category they actually belong to, according to its template categorization guide. You do not have to choose between the app and the platform: Meta lets you connect the number you already use in the app to the API, which it calls coexistence. You can keep messaging one to one from the app, WhatsApp keeps the history in sync if you agree, and messages sent from the app stay free, per its coexistence documentation.
How much the WhatsApp Business API costs
Meta charges for the WhatsApp Business API per delivered message, by category and by the recipient's country code. Since October 1, 2026 it also charges for service messages, at the same rate as utility messages in each market, after 1,000 free a month per business phone number. To a Spanish number, marketing costs €0.0585 and utility €0.0166.
| Message type | Example: price per message delivered to a number in Spain | When it is charged since October 1, 2026 |
|---|---|---|
| Marketing template | €0.0585 | Always |
| Utility template | €0.0166 | Always, including replies inside an open customer service window |
| Authentication template | €0.0166 | Always |
| Service message (free-form reply) | €0.0166, the utility rate | From the 1,001st service message of the month on each number; no volume tiers |
What changed on October 1, 2026, according to Meta's pricing documentation: service messages, free since November 2024, are now charged per message at the same rate as utility and authentication messages in each market, and utility messages sent in response to users inside an open window, free since July 2025, are charged too. Each business phone number gets 1,000 free service messages a month, which do not roll over, per the main pricing page.
For a small B2B team that replies to a handful of people a day, the 1,000 free service messages usually go a long way; the cost that adds up is marketing templates, which are always charged. On top of Meta's fees you pay for the CRM or the provider that connects you: Kommo says it does not charge for its WhatsApp integration, HubSpot caps template messages at 1,000 a month, and Pipedrive's help center notes that Meta bills each delivered message separately. The WhatsApp Business app is still free to download.
What WhatsApp says about opt-in before you message someone
The WhatsApp Business Messaging Policy, which covers both the app and the platform, says in its September 23, 2026 version that you may only contact people on WhatsApp if they gave you their mobile phone number or username and you received their opt-in permission to receive your messages. The business alone decides how it gets that opt-in.
The WhatsApp Business Messaging Policy was last updated on September 23, 2026. These are the passages that matter for prospecting, quoted verbatim:
- What it covers: the WhatsApp Business App and the WhatsApp Business Platform; the platform also has its own terms, such as templates and the customer service window.
- When you may message: «You may only contact people on WhatsApp if: (a) they have given you their mobile phone number or username; and (b) you have received opt-in permission from the recipient confirming that they wish to receive subsequent messages».
- Who owns the opt-in: «You are solely responsible for determining the method of opt-in», and the policy adds that it must comply with the laws that apply to your communications.
- Opt-outs: «You must respect all requests (either on or off WhatsApp) by a person to block, discontinue, or otherwise opt out of communications from you via WhatsApp, including removing that person from your contacts list».
- Tone: «Do not confuse, deceive, defraud, mislead, spam, or surprise people with your communications».
The same policy notes that people can block or report a business, and that WhatsApp's systems limit how many messages a business can send if its quality stays low for an extended period. Its best-practice section recommends an opt-in that covers the different categories of messages you will send, a separate opt-in for calls, and clear instructions on how to opt out.
This is not legal advice. The policy points to the laws that apply to your communications; which laws those are, and how to document opt-in in your case, is a question for counsel.
What to ask of a CRM with WhatsApp for B2B sales
For B2B sales, a CRM with WhatsApp should store every conversation on the company, contact and deal record next to email, LinkedIn and calls; let several reps see and pick up a thread; create follow-up tasks; record how and when opt-in was given, and be clear about which part of Meta's fees you pay.
- History on the record, not in a separate inbox. The conversation has to show up on the company and the deal, not only in a chat inbox nobody cross-checks with the pipeline.
- Every channel in one thread. If WhatsApp lives in one tool and cold email in another, the rep who picks up the account does not know what was said where.
- Several reps on one account. See, reassign and continue a conversation when someone is on vacation or leaves the team.
- Follow-up as tasks. A reply, or silence, should create the next step instead of relying on memory.
- Recorded opt-in. A field or a note with when and how the contact gave you their number and permission, and opt-outs honored on the spot.
- Clear costs. Whether the plan caps messages, whether it supports coexistence with the app, and who bills you for Meta's fees.
- Send caps. A daily limit per number so a sequence never turns into a broadcast.
If WhatsApp is your main customer support channel, a shared inbox and chatbots matter more. If it is one channel within your prospecting, history per deal and how it fits with email and LinkedIn matter more. Answer that question first and the shortlist gets much shorter.

Kommo is a CRM built around messaging. According to its site, its native integration gives access to the WhatsApp Cloud API and creates a lead card for every incoming message. - No monthly billing: the minimum subscription is 6 months.

- Supports coexistence: the same number in the WhatsApp Business app and in HubSpot at once.
- Up to 25 phone numbers per WhatsApp Business account.

How to use WhatsApp in B2B sales without burning the channel
WhatsApp works in B2B sales when it continues a relationship that already exists: the person gave you their number and agreed to hear from you. Write little and with context, say who you are, honor every opt-out on the spot, set a daily cap per number and log the conversation in the CRM so the next message does not repeat what was said.
- Ask for opt-in at a natural moment. At the end of a call or in the demo form, ask whether you can follow up on WhatsApp, and note on the record when and how they said yes.
- Use WhatsApp for what it is good at. Confirming a meeting, sending the proposal, answering a question or flagging a change. For a first touch with someone who does not know you, the usual channel is B2B cold email or LinkedIn.
- Short messages with context. Remind them what you discussed and propose one next step. No three-minute voice notes, and no PDF catalogs out of the blue.
- Honor opt-outs immediately. WhatsApp's policy requires you to respect any request to stop receiving messages, whether it arrives on WhatsApp or anywhere else.
- Set a daily cap per number. People can block or report you, and WhatsApp limits sending for businesses whose quality stays low for long.
- Watch your marketing templates. They are the ones Meta always charges for, and a template you submit as utility can be recategorized as marketing.
- Log everything on the record. If the reply comes in on WhatsApp and the next step is a call, whoever makes it needs to see the whole conversation.
The underlying idea is the same as in the rest of prospecting: the channel holds up as long as people want your messages. A number that gets blocked or reported a lot loses sending capacity, and getting it back costs more than sending less would have.
Which CRM with WhatsApp to choose
If you sell mainly through messaging and want to start today, Kommo and Clientify include WhatsApp in their entry plan. If you already pay for HubSpot Marketing Hub or Service Hub Professional, or Pipedrive Growth, try their integration before switching tools. If WhatsApp is one channel in your B2B prospecting and you can wait for early access, GTM Flow keeps it on one record.
- Your business comes in through WhatsApp and you need a shared inbox: Kommo or Clientify. Weigh Kommo's 6-month minimum against Clientify's monthly option.
- You are on HubSpot with Marketing Hub or Service Hub Professional: connect WhatsApp there, and keep the 1,000-template monthly cap in mind.
- You are on Pipedrive Growth or above: check whether you have access to the beta before paying for another tool.
- WhatsApp is one channel next to cold email, LinkedIn and calls: look for a CRM that keeps everything on the deal. GTM Flow is built for that, but today you get in by requesting early access.
Whatever you choose, two things stay the same: what Meta charges per message, which since October 1, 2026 includes service messages beyond the first 1,000 a month, and WhatsApp's rule to message only people who gave you their number and their permission. Frequently asked questions
What is the best CRM with WhatsApp for B2B?
It depends on how you use it. If you sell mainly through messaging, Kommo (from $25 per user a month with a 6-month minimum) and Clientify (from €39 a month billed annually) include WhatsApp in their entry plan. HubSpot offers it with Marketing Hub or Service Hub Professional, and Pipedrive has it in beta from Growth. For multichannel B2B sales, what matters most is that the conversation lands on the deal record next to email and LinkedIn.
What is the difference between WhatsApp Business and the WhatsApp Business API?
The WhatsApp Business app is free to download, provides for one phone number and, according to WhatsApp, is ideal for small businesses. The API, called the WhatsApp Business Platform, is not an app but a set of APIs: it connects to a CRM, lets several users work one number, and Meta charges per delivered message. Meta lets you connect a number you already use in the app to the API.
How much does the WhatsApp Business API cost?
Meta charges per delivered message, by category and by the recipient's country. As an example, to a Spanish number the EUR rate card effective October 1, 2026 lists €0.0585 per marketing message and €0.0166 per utility or authentication message. Since that date Meta also charges for service messages at the utility rate, from the 1,001st of the month on each number. Your CRM plan comes on top.
What changed in WhatsApp pricing on October 1, 2026?
Meta started charging per message for service messages, the free-form replies inside the 24-hour window, which had been free since November 2024, and for utility templates sent as replies inside that window, free since July 2025. Service messages cost the same as utility messages in each market, with 1,000 free a month per business phone number and no volume tiers.
Can I use WhatsApp for B2B prospecting?
The WhatsApp Business Messaging Policy, in its September 23, 2026 version, says you may only contact people on WhatsApp if they gave you their mobile phone number or username and you received their opt-in permission to receive your messages. It adds that the business alone decides how it gets that opt-in and must honor every opt-out request. Review your specific case with counsel.
Can I connect the number I already use in the WhatsApp Business app to a CRM?
Yes, if the CRM supports it. Meta calls it coexistence: you connect a number already used in the WhatsApp Business app to the API, keep messaging one to one from the app, WhatsApp syncs the history if you agree, and messages sent from the app stay free. HubSpot, for example, documents that the same number can work in the app and in its inbox at once.
